Managing Bank Accounts for a Merchant Location

The Bank Accounts tab in Location Details provides a centralized view of all bank accounts associated with a merchant location. The updated interface improves visibility and management by displaying each bank account individually and identifying its intended use through category tags.

Each bank account associated with the merchant location is displayed on a separate card.

Each bank account card displays:

  • Bank account information
  • Category Tags indicating the purpose or usage of the bank account
  • Nickname (if configured) to help distinguish between multiple bank accounts
  • Edit icon (users with appropriate permissions only)

Updating eCheck Settings

Only users with the Credit_Enrollment_1 role have the permissions to update eCheck settings. To access the tab, you must click the Corporate lock icon.

Hold Day Settings

Use the sliders on the Hold Days Debit, Hold Days Credit, and Hold Days Resubmit fields to select the number of hold days for debit, credit, and resubmit transactions. The standard hold time for ACH debit and credit transactions is four business banking days, to which Dex defaults when enrolling the merchants. Dex supports a maximum of 10 hold days for debit and credit hold days and a maximum of 14 hold days for resubmits. Merchants who want to reduce their hold time to less than four business days must complete a Faster Funding Request form and submit the required documentation.

Debit and Credit Limits

In the provided free-text fields, enter the limits for debit and credit echeck transactions:

  • Per - The maximum dollar amount this merchant can charge for echeck debit transactions or the maximum dollar amount this merchant can disburse for echeck credit transactions. This amount limit cannot be higher than the Daily or Monthly limits.
  • Daily - The total dollar amount this merchant can charge in a 24-hour period for echeck debit transactions or the total dollar amount this merchant can disburse in a 24-hour period for echeck credit transactions.
  • Monthly - The total dollar amount this merchant can charge in a 1-month period for echeck debit transactions or the total dollar amount this merchant can disburse in a 1-month period for echeck credit transactions.

SEC Codes

Dex sets the default SEC Code values to WEB, TEL, PPD, and CCD for all merchants set up with ACH services. These values are reflected in both Dex and Webtools until the legacy applications are fully deprecated. For guidance on what SEC code should be assigned to a merchant location, see Working with SEC Settings. If the merchant needs to support additional SEC codes beyond the defaulted values, select them from the list. Selected codes display in blue.

The Entry Description Override value overrides whatever value the merchant originally sends in the Entry Class Code field when submitting the transaction. To set a value for the Entry Description Override field, use the dropdown menu to select the preferred SEC Code. NOTE: The values that display in the Entry Description Override field are populated from the list of selected SEC codes.

The Duplicate Transaction Timeout field displays the number of minutes merchants must wait before sending a transaction that has the same payment method and authorization amount as a previously submitted transaction. If sent within the timeout threshold, the second transaction will decline with a U10 Duplicate Transaction response code. To define a value for the Duplicate Transaction Timeout field enter the number of minutes in the free-text field. If no value is entered, Dex defaults this field to 5 minutes.

Updating Recollect Settings

The Recollect Options tab defines the merchant's settings for recollection attempts when echeck transactions are returned for non-sufficient (R01) or uncollected (R09) funds. These settings determine when and how many recollection attempts should be made for a returned transaction. The following settings can be updated:

SmartDates - The transaction will be re-presented on specific day(s) of the month. This option enables merchants to re-present returned items strategically. When you select this option, a Smart Dates date picker field displays where you can select up to 30 days in the month for re-presentment.

Updating Processor Information

Only users with the ODFI_update permission (i.e., Credit_Enrollment_I role) can update a merchant's ODFIClosed information and ACH cut-off time from the Location Details screen. Updating the Authorizer Stack

The Auth Order tab of the Edit eCheck Services Modal gives permissioned corporate users the ability to define and modify the authorizers for ACH transactions. To update, define, or modify the auth stack, navigate to the Edit eCheck Services Modal (see above) and complete the following steps:

  1. Click the AuthOrder tab and then the Corporate Only icon. A list of available authorizers displays.

    • AOA - Account Owner Authorization is a service that leverages a national database of current financial data to authenticate the ownership, signatory, and status of an account by checking the business name, address, and Tax ID associated with Demand Deposit Accounts (DDA).
    • Account Owner Authentication - Ownership Check Only - a service that leverages account owner data to confirm the account is valid and in good standing and authenticate the identity of the account owner or authorized user (for WFMS only).
    • Internal ACH Processing - Forte uses our own proprietary TRN Blacklist, Checksum, and Known Bad Accounts databases to ensure the transaction is not linked to a known bad account or routing number and that the account number was properly submitted and passes a check digit validation.
    • SPS - The SPS configuration encompasses multiple verification services and checks for risk items like young accounts. NOTE: All Validate+ configurations must include either SPS or PPS. Merchants can customize their Validate+ configuration on their Location's Details Screen.Test Authorizer - This enables merchants to fully test their ACH configurations via a testing authorizer service.

Merchants can customize their Validate+ configuration on their Location's Details Screen.

Work with Card Settings

User's with the appropriate permissions can view and modify the Address Verification Services (AVS) and Card Verification Value (CVV) settings of a merchant's account from the Location's Details Screen in Dex. Obtaining an AVS match and requiring CVV values reduces credit card fraud—especially for card-not-present merchants—and greatly reduces the merchant's risk of chargebacks and fraud dispute liability. CVV matches provide a quick method of customer identification and card verification for card-not-present transactions. The AVS system compares the ZIP or Postal Code provided by the customer to the ZIP or Postal Code of the customer billing address on file with the credit card issuer. In Dex, you can view and configure whether or not to require CVV values and configure your AVS settings to either warn you or decline the transaction in the event of a ZIP code mismatch.

Work with Account Updater Settings

NOTE: Only Forte's Enrollment Team can enable/disable or update Account Updater settings.

Forte's Account Updater service gives merchants the ability to prevent interruptions to their recurring transactions by automatically updating cardholder account information for Visa, MasterCard, and Discover credit cards that may have been replaced or reported lost or stolen. The Account Updater service works by exchanging electronic credit card account updates through a batch FTP process with existing account databases that are maintained by the card associations. This keeps declines to a minimum and ensures a more stable cash flow for merchants. Currently, only WorldPay by FIS (i.e., Vantiv) and Wells Fargo merchants can subscribe to the Account Updater service.

Enable Account Updater

To enable Account Updater services for a merchant, complete the following steps:

  1. Click Locations on the Dex Main Menu. The Locations Datagrid displays.
  2. Enter Location Name or Location ID in the Search field or use the Status, States, Postal Code, or Services filters to narrow down the list of locations.

  6. Select one of the following processors:
    • Wells Fargo
    • Vantiv
  7. Enter the monthly run date in the Day to Run field.
  8. Click the Save button. Dex returns you to the Location's Details screen.

Updating the Run Date for Account Updater

Forte recommends running the Account Updater service 4–5 days before any scheduled transactions. Merchants/partners can modify the run day to coincide with changes to their billing schedules; however, Forte requires at least four days to ensure all the systems supporting Account Updater services capture the change (i.e., a merchant who set his or her run date to the 15th of the month and then calls on June 14th wanting to change the day will not get his or her day changed until July). Account Updater defaults the run day to the 15th of every month. To update this value, complete the following steps:

  1. Click Locations on the Dex Main Menu. The Locations Datagrid displays.
  2. Enter Location Name or Location ID in the Search field or use the Status, States, Postal Code, or Services filters to narrow down the list of locations.
  3. When you find the desired merchant location, click the row on which it's listed. The Location's Details screen displays.
  4. If not already selected, click the Products and Services tab.
  5. Click the  that displays next to the enabled Account Updater toggle. The Account Updater Settings modal displays.
  6. Enter the day you want Account Updater to run in the Day to Run field.
  7. Click the Save button to return to the Location's Details Screen.

Account Updater Billing

Account Updater uses two billing codes for invoicing merchants. One is a flat monthly fee for using the service (AUM) and the other is a per-item fee for each update Forte receives (AUI).

The following table lists the response codes Forte receives from Vantiv and Wells Fargo’s Account Updater services. The billable codes are charged to the merchant as an item under the AUI billing code.

Migrate Unassigned Locations

NOTE: The following topic applies only to Forte users with specific permissions and details how to migrate unassigned merchant locations into new or existing Dex organizations.

Finding Unassigned Locations

To quickly find unassigned merchant locations, complete the following steps:

  1. Select the applicable account in the account search and click Locations in the Dex main menu. The Locations Datagrid displays.
  2. Click the Show Unassigned checkbox next to the search filters. Dex displays the unassigned locations. From here, you can search for the desired location by Location Name or filter the displayed list by Location ID, Status(i.e., Live or Deleted), State, or Postal Code.

Assigning Locations to an Existing Organization

Once you've located the desired location, complete the following steps to add it to an existing account:

  1. From the Locations Datagrid, click > Migrate. NOTE: Only one location at a time can be migrated to an organization. The Migrate Locations Screen displays.
  2. If this location shares the same Tax ID/Fed ID with an existing organization(s), then select the radio button next to the applicable organization and click the Migrate button. NOTE: Do not create a new Organization ID for locations that have the same Tax ID/Fed ID as existing organizations under the same partner.
  3. Click the Done button to return to the Locations Datagrid.

Assigning Locations to a New Organization

For locations that do not have the same Tax ID/Fed ID, the option to add them to existing locations is disabled. To create a new Organization ID for the location, complete the following steps:

  1. From the Locations Datagrid, click > Migrate. NOTE: Only one location at a time can be migrated to an organization. The Migrate Locations Screen displays.
  2. Dex auto-selects the Create New Organization radio button, so all you have to do is click the Migrate button. Dex creates a new Organization and Organization ID based on the name of the location. This new organization has the same Tax ID/Fed ID as the location.
  3. Click the Done button to return to the Locations Datagrid.

Regenerate Legacy Credentials

Dex works not only with newer products like Forte Checkout and the REST API, but also Forte's legacy products like the Advanced Gateway Interface and Virtual Terminal. Rather than navigating between products to create and regenerate processing and web service credentials, we've given Merchant and Enterprise Organization Admins the ability to create and manage credentials for legacy products and integrations. These credentials include the Real-Time Password required for merchants using the following products

  • Advanced Gateway Interface
  • Forte Mobile App

As well as the API Login ID and Secure Transaction Key required for merchants using the following products:

  • SOAP web services
  • Secure Web Pay
  • Forte.js
  • Forte Checkout v1

Creating Credentials

To create any of these credentials, complete the following steps:

  1. Click Locations on the Dex Main Menu. The Locations Datagrid displays.

Regenerate FTP Passwords

The Forte Enrollment Team, Merchant Admins and Developers can regenerate their FTP passwords if it becomes compromised or forgotten. Merchants must have existing FTP credentials, including a username that consists of a transmitter ID preceded by the letter U (e.g., U12345).

To regenerate your password, complete the following steps:

  1. Navigate to the Locations Datagrid by clicking Locations on the Dex Main Menu. The Locations Datagrid displays.
  2. Enter the Location Name or Location ID in the Search field or use the Status, States, Postal Code, Services, or PayFac Profile ID filters to narrow down the list of locations.

  8. Click the Copy link to copy the value to your computer's clipboard. To ensure continued service, update any software integrations or point-of-sale terminals that use FTP credentials to transmit files to Forte.

Understanding AOA Services

Early Warning's Account Ownership Authentication (AOA) services enable CSG Forte to confirm the identity of an account owner and the status of the account by comparing it to Early Warning's National Shared Database resource. Early Warning participants maintain the National Shared Database by contributing the following information daily:

  • Draftable and non-draftable account status updates

  • Stop payment records

  • Outgoing returns of the participant's own accounts

  • Transit and return information on the accounts of non-participating institutions

  • Account owner elements, such as name, address, and Social Security number (provided on a weekly basis)

AOA Versions

Currently Forte uses the AOA service as part of our merchant underwriting process; however, in the future, Forte will leverage the AOA service to enhance our Validate/Validate+ offering for merchants. This includes giving merchants the ability to customize their risk threshold by adjusting their AOA configuration's scoring system. Forte offers three versions of AOA:

  • AOA Only - Forte authenticates only the account owner's information.

  • AOA + Status - Forte authenticates the account owner's information and confirms the account is valid and in good standing for a transaction.

  • AOA Status Only - Forte confirms only that the account is valid and in good standing for a transaction (e.g., not closed, NSF, etc.).

The following table displays what information is provided with each version:

AOA Version

Data

AOA Status Only

Is account open?
Type of Account – Checking, Savings, HELOC, Brokerage, etc
Risk score predictive of return likelihood
Is the account new?
Is the account in a negative status?
Is the account a non-DDA account?
Have lost or stolen checks been reported on the account?
Does the account accept debits?

AOA Only

Gives Forte merchants the ability to validate the following elements of a bank account record:

Account Names (First + Last/Business)
Account Address
Date of Birth
Identification/DL Number
Type of Issuance
Identification Issue Date
Phone Number
Social Security Number or Taxpayer ID
Account Type (DDA or Savings, Consumer or Business)
Owner or Signor Match

AOA + Status

Provides all of the data from both the Status Only and AOA Only versions.

Scoring AOA Requests

The AOA service provides an overall score that measures how closely the request data matches the information in Early Warning's National Shared Database. The service derives the score not only from exact matches, but also from name variations, abbreviations, phonetic encoding and other proprietary matching algorithms. When specific data elements are not provided in the request or are not included in the database record, the score adjusts so that only the remaining data elements are included in the calculation.

For each individual data element, the AOA service uses the following response system:

  • Y = The submitted data closely or exactly matches the database.

  • C = The submitted data conditionally (partially) matches the database (e.g., If a submitted request for a name element was "Kathy Waren Hwkins" and the database record was "Katharine Warren Hawkins," the AOA service would return a C response).

  • N = The submitted data does not match the database.

  • U = No identifying data is available in the database for the provided account.

For the overall score, the AOA service use the responses for the individual data elements and combines them into a numerical score. Early Warning provides the following overall score thresholds for definite, conditional, and no match recommendations for the transaction:

  • Y = 81 and above

  • C = inclusive between 75 and 80

  • N = less than 75

Validate/Validate+ uses this overall numeric score in its decisioning logic. The following table maps how Early Warning's overall score affects the responses provided in Validate/Validate+. For information on Validate/Validate+ P codes, see the Validate/Validate+ Integration Guides. For a Transaction Response Code reference, see Transaction Codes.

The value in the pg_preauth_result field is what ultimately determines whether the transaction should be approved or declined. Typically only the NEG response will trigger a decline; however, POS and UNK responses may be declined for other reasons. If a transaction is declined, Validate/Validate+ will include the pg_preauth_neg_report field in the response. This field contains the negative database responses and negative report details from Early Warning.
